Yeah I saw it every single year how much we lose. Insane. Sure we can go karting just not rent out a place and deal with being separate.

Well if you want to put it that way sure, but that isn't the clear cut issue. 3 weeks is a lot of time for me may not be for you, but I don't personally see a problem with it. And this weekend was talked about wayyyyy before 3 weeks out. I said keep the weekend clear. And look karting is happening on this weekend. Also, we weren't going to book karting until we had a car show date which turned out to bring exactly as we said the original day would be. On top of people bitching and making us rethink things multiple times also put a delay on things. Yeah we didn't start the car show planning the last semester, but neither did officers last year. We didn't forsee it taking so long as last year didn't.
I will indeed complain as I set all this up and we are wasting $800 now. If people complain about having the event then show up. That's just it plain and simple.

A few things here:
1. Typically around 20-25 people pay for the event. In the past if someone takes it upon themselves to really promote and push the event we can get up to 40, but that kind of turnout only happens with a good deal of effort.
2. Knowing that around 20-25 people usually come out for these, it would make sense to plan the event for 20. Everyone who wants to come may not get in, but it's better to have a little bit more demand than supply.
3. The fact that we have 20 ish people who want to go clearly means there is demand. Just because the goal wasn't met doesn't mean one should throw up their hands and say, "No one wants to do this," or "We're not doing this again." If Cobetto took that attitude with NASA or Hyperfest neither would be a thing today. Disappointment is an opportunity to reflect and improve. Without that, success will never come.
4. It's been said many, many times, but put the plan out early enough that people can plan for it. I had already planned something else by the time this was announced. Others are in the same boat.
5. This event has been happening for over a dozen years. Don't reinvent the wheel.
At any rate the weather is not cooperating with my original plan so I'll be there on Sunday with maybe one extra. I'll pay tonight.

We have spread the word to the students throughout this year at multiple meetings and in the group chat we have. Wasn't just in like just the last month. Showed videos, explained it, etc... There is no way else to get alumni to go except post on here and through emails or word of mouth from alum to alum. With the amount of people who were worried about karting they aren't showing up. Even if we didn't get the date nailed down until 3 weeks ago. We still had it planned for this weekend since this thread started. (start of February). And if we only had it for 20 people no one would pay the price of like $60-70.. That's why I said just don't rent a place out. Do it differently and just show up with people who want to go. Pay the normal price they have and that's that. People don't get to run with each then oh well nothing can be done unless we want to keep losing several hundred dollars.
I'm thankful for the people who have brought friends. Awesome job. Thank you to everyone coming out too. Much appreciated.
And I don't know what else to say besides that. Will be good to see the alum at karting though. We are still deciding on how we want to do teams this time. May try something new that not everyone will like... but we will see.
When he said 20 people, he meant rent the track for one hour which is like half the cost which equals out to the same cost for people and the same amount of track time if 40 went.
My year was only the second time we did a fall and spring Enduro. For the fall one, I had the date posted by the first week of the September for a late November event and like Gerald said, I bumped the thread like every other day and constantly annoyed people and fought to get those 40 (might have been 39)
The spring, I saw the writing on the wall and changed it to a one hour Enduro a few weeks out and got that filled last minute.
As far as teams go, I guess it's ultimately up to you but since there are so many people's friends coming, it may be better to let people pick there own teams so people's friends can be with them instead of someone they don't know.
