Alright guys, this is all preliminary stuff. But I figured I'd get all of you grumpy alumni's opinion on this as well. As of now here are some things (nothing set in stone)
Attendance: 100 cars, 250 people
Price: This year I wanted to try something new. Instead of the normal 5 member, 10 nonmember. I want to do donations required upon signing up. Anywhere from $1-$1,000,000. This way we aren't excluding people who don't/can't pay the $10 dollars and then people who can don't mind making a hefty donation. So there may be a handful of people who donate a few buck but then there is also a handful of people who are willing to donate 50-100 bucks as their "entry fee". And of course we will have open donation box on site for attendees.
Lot: Convo
Charity: Bipolar Aware (for anyone who wants to know why I can explain but it's a long story)
Music: DJ White Mike (famous local DJ I guess)
Events:
- Cornhole tournament
- judging classes: Import, Domestic, Classic, 4x4, motorcycle, MAYBE racecar?
- Chinese Raffles: Steven Toyota is donating and helping out a ton. A lot of oil change, alignments, car details, inspections,
He also is willing to donate either 200-300 straight to the event or on something else to raffle. If we were to get something else what would something that everyone could use?
- He also has a 13 ft smoker that we can use to cook on. So that will probably take care of food a lot more quickly.
- What other events do you guys think would be fun/ not over the top?
- Prizes: instead of trophies, Steven Toyota offered their HUGE photo studio for pictures of the car. After the event i'll head over there with him (I'm choosing to shoot so we don't have to pay for a photographer and he doesn't have to pay his overitme) and we can get studio shots of the winner's of each class car. He will then print off their favorite one and give the rest on a disc
- Preregistration: possibility, then give preregistration people a goodie bag from things that sponsors have given us.
Sponsors: Steven Toyota, this list will continue as we reach out more and more people. If you can think of companies please let us know we have a list of about 30 at the moment.
Vendors (we automatically get 10% from anyone who sells at our event)
- Working on these at the moment, we'll see who all we get out and how relevant they are
- Dyno?
Also I'm working on the poster right now, does anyone have any of the past .psd files? Or if you are interested I have plenty of pictures of a lot of different cars and would gladly throw them to you if you can do it faster than me (I'm sure some of you can)

I like the idea of just asking for a donation for admission instead of a fixed price, but I think you'll really want to put a heavy emphasis on the fact that it is a charity event to encourage people to donate. Also, just a reminder we can't sell the food, it has to be given away so we don't compete with Aramark or something, but we can put a donation box next to the smoker.
I think we had a dyno in one of the years before I went, but I don't know where it came from or how it went. Goodspeed might have more info?

Sorry date is pretty set. April 5th was the only one that worked out. Yeah the smoker is just more "efficient" (I think). We will have the normal hot dogs, burgers, chips, soda. Meeting with Aramark but I already know we can't sell food. There is a local dyno guy, we're seeing if it would be beneficial to have there. Also we are talking about the articulation ramp. The only worry is that if you don't know what you're doing you can roll your car, aka a HUGE liability.

I think I have all the dyno information that Goodspeed sent me from when they did it. I'll see if I can dig it up.

I do have the disk with all of Goodspeed's hard work. It has pictures, diagrams, letters, etc. Most of the work is done, you just need to present it to risk management. Let me know if you want the disk, Garrett.

Has anyone spoken with Aramark in the past about food at events? I know we had our own food last year, which is technically "illegal" but if they don't know then...carry on our merry way..Even if the food is being given away for free we technically should have it there, but again, who's checking?

You can have all the food you want. There's nothing wrong with that. Aramarks concern is when you try to sell it. As long as you're "giving" it away, there is nothing wrong or illegal. I don't think anyone (Joey) was saying not to have it. Just can't force people to pay for it. A strategically placed donation jar is the norm of car shows past.

I believe we have (paging Jake), and IIRC there's no reason we can't cook food for ourselves on campus and give it away to hungry friends. There's also no reason we can't collect donations for charity. However, we cannot sell food because that would "compete" with Aramark's business.

OK, some good things going on here.
The dyno has been approved in the past and could likely be brought out again with minimal extra effort. It took Goodspeed forever to get it approved with JMU's Risk Management people. The articulation thingamajig could be really neat, but Risk Management would likely shut it down right away. You definitely need to get that approved first.
Regarding food. Aramark will always tell you that you cannot sell food on campus, because of the contract that Aramark/JMU have. That said, you are welcome to make food and give it away, and have a donations box next to the grill or smoker.
With the date - in the future (and future leadership, take note too), please please please post this and email this out as soon as you know it. It sounds like you've known the date for a while and even a few weeks' difference can make/break it for alumni who have to plan other life things around MM events.
I like the idea of the glamor shots for winning car classes. Seems neat, and the dealership is close enough that they could be taken immediately following the show.

Yeah that is my fault about the date. I've been sitting on that for a few weeks now. I am meeting with Aramark to get their signature so that shouldn't be a problem (Debbie Miller already said it will be fine). Jon I would love that disk por favor.

Oh mobile dyno. Sketchy but awesome. I might even get dynoed as I'll have my header on by then for sure. Can we make the lowest HP category for my car? (jk) I like all the ideas and more sponsors would be spot on. Car show is looking great already. Would we be selling the food or giving it out?

Definitely a great meeting.
Like the raffle and photo shoot ideas, as well as donation entry fee, think it's going to be a lot of fun. It'll be nice to mix in a good showing for off road stuff.
Allow me to play old man for a second, if DJ McBumpitity could drop his phat beats at a volume level that still lets people talk, that would be much appreciated. (as would using radio edit versions since it's a public venue)
Any talk to Bob Wade Subaru, or has that relationship gone out the window?
Also Kyle at City Motors, usually has some cool cars to bring out. Rex and Julie should know how to get in touch.

Talk with Trevor from VBD, get Polen to chime in here, Trevor may be willing to bring out the E46 and advertise his car rental for track events.
Mid-Atlantic Motorwerks?
Radio Station coverage. You can call all of them and they will do free ads on their "community updates". This helped to get the word out to the locals in the past.
Get the word out to VCU, Tech, UVA car clubs, etc.
Get the word out on the Nova/Cville/RVA cars and coffee pages. Those guys are all about hard parking so it could bring in some more attendees.
BRR-SCCA, I bet Ray or someone wouldn't mind setting up a table of sorts to promote BRR-SCCA, as well as get some members out with their prepped cars.
Holding this thing in the convo lot is going to put the burden on you guys to promote the hell out of it all over campus. No dorms/cafeterias up there so the foot traffic will be minimal.
