yeah, except they got away with a pretty good amount of money b/c they had to have a signature for every person. Linds went to get money for my dad and I b/c I was headed out to track and couldn't wait in the line, and they closed up before I got back. It kept slipping my mind and I had other stuff to attend to (car and class), which I thought was the reason that a crew member was supposed to be able to get stuff for the driver. Just venting, I'm over it; just might want to work something out with BSR for that next year.

The refund station was open for FOUR hours, there was plenty of time for everyone to get their money back. There were paddock announcements to remind, details in the event instructions linked to in the confirmation email I sent, notification at the all hands meeting...and so on.
The track was not about to just hand out 20.00 bills to someone *for* someone else. That is why they had a list of pre-registered drivers and blank spaces for the crew members. Driver needed to report to list their crew, crew could then report either with driver or later to get the refund. The responsibility was on the registered entrant to make it to the refund station . Sorry but that is the only way to account for the $$$$

Well. This process needs reviewing and a change. I had 1 crew member that wasn't arriving until the race (3:20). Had I not called him and told him to get up here he would not have gotten his $20 back. Had he not been able to get refunded he probably would have turned around and left (he's jewish). He had to park over at Shenandoah track and RUN over to the tech shead for his $$$. His phone wasn't working so I had NO idea he had to park so far away.

The Racers are one reason why hyperfest has such a draw and you guys need to make it easier on us and our crew. I'm sure its not NASA's fault but BSRs bla, bla, I don't care. I interface w/ NASA not BSR so it is you guyses problem in my eyes. Basically it was just another dig point for this guy since he works with an SCCA racer as well and they don't make crew pay to enter...

i think the refund process was clearly stated IMO, but i don't agree with the limited time-frame. I think that it should be extended throughout the day.

+1 on that, I crewed last weekend, I went into the gate, they checked me off at registration and gave me my wristband - pretty painless. Then again, SCCA has a HUGE group of volunteers that make this happena and there were at least 15 people working in the registration shed.

But I didnt get to park in the paddock there either. I guess thats just a BSR rule.

I've had some time to think about the hyperfest weekend, especially after cleaning up my tools and pushing the busted cylinder head aside on the workbench to forget about for a while. At first, I thought the weekend sucked something awful. That one's obvious - my motor dropped a valve, I lost the race.

But, overall I guess it wasnt such a bad weekend. I had a personal victory of sorts, qualifying on pole by over a second against some tough competition in heavy traffic, getting in the lead after both standing starts and checking out in the race. I got quite a bit of practice racing with traffic with the full track during the day and I felt pretty lucky to not get a mark on my car (although I'm sure my tow loop left a few marks on a certain Spec Miata's bumper). NASA also ran a pretty good show all weekend, staying on time and keeping things organized, and keeping all the hypershizzle out of the main paddock - racing with full grandstands is very cool.

I got to see lots of friends and familiar faces in the paddock, the huge MM presence at the track is always a good time - even Gerald showed up Smile As always, instructing Pete was a blast - It was fun to be able to push him to go faster throughout the weekend.

I got very lucky with the engine, although my "new" cylinder head is trashed thats the extent of the damage and I guess there are worse things to spend $600 on. At least I have another workbench ornament....

The plan now is to get it back together in time to make the October race, along with a trip to the Dyno for some more tuning. Kofod told me last week that he will come out and "keep me company" on track that weekend if I race.... I can always use someone to watch in my rearview Wink I've got a bit of a personal goal to hit that weekend, and I think with the cool temps and a little more juice from the engine I can make it Smile

When Chris used to race SCCA we did have to pay at the gate and get a refund at the registration building on the left if you were a racer or crew. Apparently, now what they are doing is not charging the racer or crew but those people have to stop at the registration building and get a wristband that indicates your gate entry is taken care of. And then, they have someone checking wristbands after you leave the registration building. All racers have to go through their registration either Friday night or early Saturday morning. We do things differently and have registration at the tech area and don't ask you to wait in line at all to register if you are preregistered online. Since we combine tech and registration to avoid having people wait in two lines or any lines at all, we won't use that registration building. So, since we have no "stop gate", everyone will have to pay and get a refund. There just isn't another way. And it is probably still the case that if you arrive after noon on Saturday for an SCCA event, you have to pay as well. It seemed like the hours of 10AM to 2PM worked pretty well since people told me the lines were not long or basically nonexistent when they went. And, guys, it is only this one event which is a spectator event. If we didn't have all the media, vendors, spectators, BSR instructors for hyperdrives, and every imaginable credentialed person out there, we could have other options. We have tried to explore other alternatives and welcome other ideas. But the track will always do the refunds and they are great to accommodate us for that long on Saturday. Using the registration building is not an option because of all the people headed to camping areas in the carousel, etc that don't even need to get to the race paddock. Mailing out passes is not an option because the racers on the whole do not mail out the passes to their crew and when we did mail them to racers, many claimed they did not receive them at all. That was a nightmare at the gate. And we cannot have lists at the gate. But again, if anyone can come up with something else, we will definitely consider it!

Kind of an aside, but the worker passes received by snail mail a few days before the event was great. I had everything I needed, and didn't need to bother no body. That setup worked well, Laura.

whoa there, I didn't intend to open any cans of worms here. As I said before, I was upset last saturday, but I well over it now. However, since it is up, I might as well put in my feelings.
I absolutely realize that in many ways, it is my own fault for not getting my money. However, I did go to the line and there was 15+ people waiting. Maybe I just hit them at the same time everybody else did, but I had to make the decision to leave and try to make it back at another time. That didn't happen. The part that irritated me the most is that when I pulled off from my track time at 2:03 I drove right to the tech shed and they were nowhere to be found. Considering the rediculous amount of cash they collected as a result of just the entry fee, I feel that they might want to be a little more lenient to the group of people who are making them all of this money. Furthermore, if you take into account the marginal increase in work they had to do for this weekend as opposed to another NASA weekend (and yes, I may be very ignorant to this) there is definitely room for them to be more accomodating considering the rediculous amount of money they collected. If you look at the large picture for the HPDE and race crowd, 4 hours is a very small chunk of time for an unusually busy 12 hour day at the track, especially when it is placed right at lunch time (which you may recall is when many of us run and refuel offsite between class and track sessions).
I do not have a problem at all with the idea of having to pay at the gate and then go to a refund station. I was irritated about somebody not being able to collect for me, but I can understand. However, my idea is that instead of staffing 2 people over a 4 hour period, why not staff one person for 6-8 hours (or 2 people with 3-4 hour shifts). That may result in a longer line, but there is a larger timeframe for people to go, so it spreads the lines out longer. I dunno, just a thought.
And yes, I agree it is only one weekend each year so we can all suck it up or just not go to this one event, but as with any huge undertaking like this, there is always a little room for refinement to make it better for people.

I dont know how much BSR was involved in hyperfest, but with most events BSR doesnt do a whole lot other than man the gate, registration, and the gas pumps and have people on site for maintenance and what not. This weekend was obviously different, lots of planning, 5,000 people out on saturday, and the whole event went off pretty smoothly I thought.

We all knew going into the weekend that between 10 and 2 was the refund time..... I know I have missed getting my refund at hyperfest in the past, and thats instructing with 2 students but still no excuse for not getting over there during a race group. My own fault, it sucks, but thats how it goes.
