Madison Motorshow Prep. - Chris - 01-23-2004

Continuing this discussing from the old forum...

I spoke with Events and Conferences and they are going to contact Matt Purdy with parking services regarding the lot situation. The plan is to register this event as a University sponsored event, so the lot we choose can be completely blocked off. These individuals are working hard for us, so I will update this situation asap.

Gerald has provided the officers with a huge list of improvements and suggestion from past MM car shows. One great idea is having the break dance team demo at the show. I know Justin is a member of that team. Does anyone else have a contact with the break dance team?? Also, would there be a fee for having them demo at the show?

On another note, does anyone have access to a generator (or 2), folding tables, TV and playstation for GT3/F355 games, and racing or best motoring videos. We also need a pickup to transport this stuff. I would really like someone to assist in the setting up and running of games and videos. The club has a tent we can use for this but if anyone has access to an extra tent that would help even more.

For the DJ, I have a friend who would be willing to use his speaker and stereo equipment for a reasonable price. ASA sorority has paid him $200 to use his stereo and speakers and to be a DJ for their semi-formals. Is this price higher than a "normal" DJ? This way we can play any music we want. How does this sound??

Other entertainment at the show could be Moon Bounce, Mechanical Bull Ride, Air Ride, Pocket Bike/Karting Demos. Here is some contact info for these:

Last year we rented the table and generator from an equipment rental place in Harrisonburg (on Main Street down near the auto mile). We can also probably get tables and chairs from Events and Conferences. This year we'll need a bigger generator most likely.

$200 sounds fairly reasonable assuming we can fit it in the budget. We should try to put together a budget that has the bare essentials then try to see what extra stuff we can swing.

For the air bounce games, bull ride, etc. you'll probably have to search the yellow pages in Nova/DC Metro, Richmond, and probably online to get a good cross section of pricing. I can initiate things on the karters and maybe someone who is into bikes can holla at the pocket bikers.

That shouldn't take long, and I think Sean already set up MM with a Paypal account. We can also get a Merchant account but that may not be worth it unless we offer merchandise online too.

Newspaper Ad, Newspaper Ad, Newspaper Ad.

Daily Record and the Breeze. Front the money for a 1/4 page ad. If the club is short, i will cover your asses until after the show. We got alot of new members after our first car show.

Car shows are ok, if they are into the bling-n-shine, we want them in MM, same as the guys that like drag racing and motorcycles (speaking of which, if there is a motorcycle club get them to come).

Fortunately 've found that Breeze ads are free for non-funded clubs! The generator we'll have to rent. $200 seems reasonable, I think the guy last year got like $50-$100 (I forget).

Events and conferences seemed really interested in helping out, I was pleasently surprised. I'm hoping Adam (Team) will be able to pull some locals for us, I don't think they really know we exist.

The newspaper ad should be part of the bare essentials budget. Ideally we should try to get an ad in the Daily News Record and maybe the Winchester and Charlottesville papers (depending on the rates).

What about that bike club? Did it ever get started?

They were at SON last semester, haven't spoken with them since. Hunter is neighbors with the guys, I'm sure he could find out for us.

i've got a ton of car videos (best motoring, top gear, bikes, autocrossing, roadracing, dragging, jackassery, etc.) i know jack has quite a collection too.

to play them at the show would require getting one of those hookups where whatever is on the computer screen shows on a tv. im sure we can rig something like that up.

i may also be able to provide a tv for the show. we have a 30 inch (i think), would that be sufficient?

lastly, what should we do about food/drinks? i know last year i was constantly running to sheetz for a drink. maybe we could get a spring water vendor or something.

Even bottled water has to be done through JMU Dining, but it is worth looking in to.

In speaking with events and conferences and dealing with other events on campus, I know ANY food and drinks have to go through dining services/aramark. I haven't looked into this yet because I wasn't sure we wanted it. Drinks at the least seem like a good idea, so I will add that to the "to do list."

The bike club is an awesome idea, we will def invite them and have a judging category for bikes. My roommate knows the guys who make the fenders (or some parts) for the Orange County chopper builders. They are from Lynchburg and could be a possible judge/entrant. My roommate's brother lives here in Ashby and is taking time out of school to go work and travel with a motorcycle race team... this can also lead to some good things- I'll ask him about all this.

i love all this work being done... BUT, i am reading a lot of "i know this guy" or "i live next to that guy", etc. and thats all good and well but we need to have some stuff set in stone. lets really work on getting a good parking lot or field to use, have it blocked off, and on a good date. then start pushing the promotion so we can tell people that it will DEFINITELY be at this location on this date.

i'm not sure about gettin an ad in the c'ville papers, but i can let the uva fools know... i know they are also in the midst of planning their own car show so i'm sure i could get some of them to come.

all in all, GREAT JOB GUYS, and lets keep workin hard to get this thing off the ground and have one sweet godaMM car show!

Yeah check with Clubs & Orgs to see what the rules are because clubs sell food from bake sales all the time in academic buildings so maybe there's specific things we can and cannot sell at an event.

If we have to go through Aramark then maybe you could find out what exactly we could sell through them. If they don't offer the kinds of food we'd be looking for maybe we'd be allowed to sell our stuff because Aramark doesn't offer it.

If push really comes to shove maybe we can offer food along with the entry ticket or raffle tickets to try to sort of work around directly selling food.

Two of roomies are in the BDC, one of them is very involved in the club, I could ask him and make sure there are no conflicts with our show and Circles 5, because I know last year they happened on the same day.
